At GalaSphere Travel & Tours, we are committed to protecting your privacy and ensuring that your travel bookings and online transactions are handled fairly, transparently, and in compliance with applicable laws, including the Philippine Data Privacy Act of 2012 (RA 10173) and the Internet Transactions Act of 2023 (RA 11967) and relevant consumer protection laws. By using our website, services, and booking platforms, you agree to the terms of this Privacy Policy and our Terms & Conditions.
1.1 Information We Collect
Personal Information – Full name, date of birth, gender, nationality, passport/ID details, contact numbers, email addresses, billing/shipping address.
Booking Details – Travel preferences, flight details, hotel information, itinerary requests.
Payment Information – Bank details, credit/debit card details (processed securely via payment partners, not stored by us).
Technical Data – IP address, browser type, device information, cookies, and analytics data.
1.2 How We Use Your Information
We process your information for the following purposes:
To confirm and manage travel bookings and reservations.
To communicate changes, cancellations, or updates to your travel arrangements.
To process payments, invoices, and refunds (subject to supplier rules).
To comply with legal, tax, and regulatory obligations.
To send service updates, promotions, or marketing offers (you may opt-out anytime).
1.3 Sharing of Information
We may share necessary information with:
Suppliers: We act as a booking agent and may share your details with airlines, hotels, transport companies, and tour operators for booking fulfillment.
Payment Partners: Secure payment gateways and banks.
Government Agencies: Immigration, customs, or regulatory authorities when required by law.
We never sell or rent your personal data to third parties.
1.4 Data Retention
We retain booking and transaction records for up to two (2) years or longer if required by law (e.g., for tax or audit purposes).

Request deletion, subject to legal and contractual obligations.
Withdraw consent for marketing communications.

2. General Terms & Conditions
These Terms & Conditions apply to all bookings made with Galasphere Travel & Tours. By booking with us, you acknowledge that you have read, understood, and agreed to the following:
2.1 Products & Suppliers
Galasphere Travel & Tours acts only as an intermediary/booking agent for products and services provided by third-party suppliers (airlines, hotels, transport companies, restaurants, tour operators, etc.).
Suppliers are independent contractors and not employees, partners, or joint ventures of Galasphere Travel & Tours.
We are not liable for acts, omissions, delays, errors, or negligence of suppliers, except in cases of our own gross negligence or willful misconduct.
2.2 Booking & Payment Terms
A reservation fee/deposit (amount varies per package) is required upon booking.
The remaining balance must be settled 30 days before departure for domestic tours and 45 days before departure for international tours or packages requiring visas (or upon visa approval, whichever comes first).
For bookings made within these timelines, full payment is required at the time of booking.
Please note that some suppliers (airlines, hotels, tour operators, cruise lines, etc.) may require immediate full payment to allocate slots, especially for promo fares, peak travel dates, or limited allocations. Galasphere will promptly notify clients if such conditions apply.
Failure to pay the balance on or before the deadline may result in automatic cancellation, forfeiture of the deposit, and applicable supplier penalties. Unpaid balances may also be treated as a client-initiated cancellation.
💡 Note on Non-Refundable Deposits
Some deposits cannot be refunded as they are immediately used to secure airline seats, hotel rooms, and other supplier services. Once paid, suppliers rarely release these funds, ensuring that your reservation is guaranteed and initial costs are covered.
2.3 Documentation
Clients are responsible for ensuring all details in their booking and travel documents (passports, visas, IDs, tickets) are correct. Our agent will always verify all the information in your booking before proceeding to finalization. In case of discrepancies, please notify us ASAP to avoid complications.
Passports must generally be valid for at least six (6) months beyond travel dates.
Galasphere is not liable for denied boarding or entry due to incomplete/invalid travel documents.
Our general practice is to send documents electronically. Hard copies of any documents can be requested but will be subjected to delivery fees.
2.4 Cancellations & Changes
By Client:
All change and cancellation requests must be submitted in writing.
Applicable fees and penalties imposed by suppliers (e.g., airlines, hotels, tour operators) will apply, in addition to our service fee.
Certain products are strictly non-refundable, including but not limited to promo fares, hotel reservations, attraction tickets, and special-event packages.
By Supplier:
If a supplier cancels or modifies your booking, we will notify you as soon as possible.
We will coordinate with the supplier to offer you alternatives, travel credits, or refunds, depending on the supplier’s policies.
Please note that Galasphere Travel & Tours has no control over supplier decisions regarding refunds or compensation.
By Force Majeure:
Galasphere Travel & Tours shall not be held liable for cancellations, delays, or losses caused by events beyond our reasonable control, including but not limited to:
Natural disasters
Pandemics or epidemics
Government restrictions or travel bans
Strikes, accidents, or political unrest
In such cases, we will make every reasonable effort to assist you in securing possible refunds or credits. However, all refunds remain subject to the policies of airlines, hotels, and other third-party suppliers and therefore cannot be guaranteed.
Refund Processing:
When refunds are approved by the supplier, they may take 30–60 days (or longer, depending on supplier timelines) to be processed.
2.5 VISA Assistance & Travel Insurance
1. Scope of Service
Galasphere Travel & Tours may assist clients with visa applications and travel insurance arrangements. Our role is limited to providing guidance, facilitation, and coordination with third-party providers, such as embassies, consulates, and insurance companies.
2. Client Responsibilities
Clients are solely responsible for:
Ensuring all submitted documents (e.g., passport, photos, proof of funds, itineraries) are complete, valid, and accurate.
Paying all visa fees, insurance premiums, courier charges, and related costs.
Submitting applications within the required timeframe.
Maintaining valid travel insurance for the duration of the trip.
3. No Guarantee & Limitations
Galasphere does not guarantee visa approvals or insurance claim approvals.
All visa and insurance decisions are made by the respective embassy, consulate, or insurance provider.
Delays, denials, or additional requirements are beyond our control, and Galasphere shall not be held liable for any resulting losses, damages, or expenses.
4. Refunds, Fees & Changes
Visa processing fees, insurance premiums, and related service fees are generally non-refundable once submitted, subject to the policies of the provider.
If an application is canceled, denied, or requires re-submission, any costs incurred are the sole responsibility of the client.
Galasphere may charge reasonable service fees for reapplications, corrections, or additional processing.
5. Acknowledgment
By availing of our visa assistance or travel insurance facilitation, clients acknowledge that:
Obtaining a visa or insurance is a personal responsibility.
Failure to secure required documents or coverage is not grounds for refund of tour packages or services already booked.
Travel insurance is strongly recommended to cover risks such as medical emergencies, trip cancellations, baggage loss, and force majeure events.
2.6 Liability & Indemnification
Galasphere’s liability is limited to the amount paid by the client for the booking.
We shall not be liable for indirect, incidental, or consequential damages (e.g., missed connections, lost opportunities).
Clients agree to indemnify and hold harmless Galasphere Travel & Tours against losses or damages caused by providing incorrect information, breaching these terms, or violating applicable laws.
2.7 Complaints & Claims
Filing a Complaint:
Clients must report complaints immediately during the trip to allow us the chance to resolve the issue on the spot or w/n 24 hours. If this is not possible, a formal written complaint must be submitted within seven (7) calendar days after the end of the travel service.
Acknowledgment:
We will issue an acknowledgment of your complaint within five (5) business days from receipt, confirming that it is under review.
Resolution Timeline:
We will investigate and aim to resolve the complaint within thirty (30) calendar days. If additional time is required due to complexity or supplier coordination, we will notify you of the delay and provide an updated resolution timeline.
Escalation:
If the complaint is not satisfactorily resolved through our internal redress mechanism, clients may elevate the matter to the Department of Trade and Industry (DTI) or other appropriate government authorities, consistent with Philippine consumer protection laws and the DTI Trustmark program.
Documentation:
Clients are encouraged to keep copies of all receipts, booking confirmations, and relevant communications to support their claims.
2.8 Governing Law & Dispute Resolution
These Terms & Conditions are governed by the laws of the Republic of the Philippines.
In case of disputes, parties shall first attempt amicable settlement. If unresolved, jurisdiction shall be in the proper courts of Imus, Cavite, Philippines.
2.9 Miscellaneous
Severability: If any provision is invalid, the remaining terms remain enforceable.
Entire Agreement: These Terms & Conditions, together with booking confirmations and supplier policies, constitute the entire agreement.
Updates: Galasphere may update these Terms & Conditions from time to time. Continued use of our services constitutes acceptance of any revisions.

By proceeding with your booking with Galasphere Travel & Tours, you acknowledge and agree to the following payment terms:
1. Reservation & Payment
A reservation is only confirmed once the required deposit has been received. (Rates varies per package/service/s)
The booking is finalized upon full payment, depending on the selected package or service.
Remaining balances must be settled on or before the due date indicated in your invoice or booking confirmation.
Failure to pay within the deadline may result in automatic cancellation of your reservation, with forfeiture of the deposit.
🗓 Payment Timeline
Domestic Tours
• Deposit: Required upon booking
• Balance: Must be paid 30 days before departure
• Bookings made less than 30 days before departure → full payment required immediately
International Tours / Visa-Required Trips
• Deposit: Required upon booking
• Balance: Must be paid 45 days before departure (or upon visa approval, whichever is earlier)
• Bookings made less than 45 days before departure → full payment required immediately
Promo Fares / Peak Season / Limited Slots
• Some suppliers may require immediate full payment to secure slots (e.g. airline promos, peak-season hotels, cruises). Galasphere will promptly notify clients if this applies.
💡 Note on Non-Refundable Deposits
Some deposits are non-refundable because they are used to secure your slots with airlines, hotels, and other travel suppliers. Once paid, these suppliers often treat reservations as confirmed and may not return the amount to us. This policy ensures that your bookings are guaranteed, and that costs already incurred on your behalf are covered.
2. Payment Methods/ Gateways
We accept payments via:
Bank transfer / over-the-counter deposit.

For payments in other currencies, clients may request to use PayPal or Payoneer. Once the booking is confirmed, the official invoice or payment link will be issued only through our verified email: payments@galaspheretravelandtours.com or directly via our official website.
All official payments must be made only through the secure payment links provided by Galasphere Travel & Tours on our website. We will never request or accept payments via personal accounts. Both Xendit and PayPal are integrated into this website for your safety.
By using these payment channels, you also agree to the payment provider’s Terms & Conditions:
3. Convenience Fees
Payments made via online gateways (credit/debit card, e-wallets, PayPal, Xendit, etc.) may be subject to transaction or convenience fees imposed by the payment provider.
These fees are non-refundable and are not charged by Galasphere Travel & Tours.
To avoid additional charges, customers may choose to pay via direct bank transfer.
4. Official Receipt / Invoice
In compliance with BIR regulations, official receipts/sales invoices are issued only for the actual amount received by Galasphere Travel & Tours.
Third-party charges (e.g., convenience fees) will not appear on the receipt as they are collected directly by the payment provider.
Official receipts or invoices will be issued and sent exclusively through our verified email: payments@galaspheretravelandtours.com or our official Facebook Page.
5. Refunds & Non-Refundable Payments
Some down payments are strictly non-refundable depending on the package.
Full or partial refunds (if applicable) are subject to the cancellation and refund policies of the specific package/service, and of third-party providers (e.g., airlines, hotels, operators, etc.).
Refunds will be credited back to the original mode of payment. If unavailable, an alternative refund method will be arranged in compliance with Philippine financial regulations.
Deductions & Fees:
Our service fees.
Any non-refundable charges imposed by third-party suppliers (airlines, hotels, operators, etc.).
Any transaction fees, transfer fees, or convenience fees from banks or payment gateways (e.g., credit card, PayPal, GCash, Maya, Xendit). These costs are for the account of the customer and will be deducted from the refundable amount.
6. Currency & Exchange Rates
All rates are quoted in Philippine Peso (₱) unless otherwise stated.
For payments in other currencies, exchange rates and conversion charges determined by your bank or payment provider will apply.
7. Disputes & Chargebacks
Any disputes, chargebacks, or reversals must first be reported to payments@galaspheretravelandtours.com for resolution.
Unauthorized or invalid chargebacks may result in forfeiture of your booking and/or legal action.
8. Force Majeure & Airline Cancellations
In cases of force majeure (e.g., pandemic, natural disasters, accidents, emergencies, political unrest, war, etc.), Galasphere Travel & Tours will not be held liable for surcharges or penalties imposed by third-party providers. Refunds are subject to supplier policies. We will assist customers in obtaining any possible refunds under such circumstances but refund is still not guaranteed.
If a flight is cancelled by the airline, the airfare may be refundable or re-bookable in line with the airline’s policies.
Land arrangements (e.g., tours, accommodations) may be refundable or re-bookable only in the form of travel credits, and still strictly subject to the policies of hotels, resorts, and tour operators.

By making a reservation or payment with Galasphere Travel & Tours, you are acknowledging that you have read our terms and conditions and that you agree to be legally bound by them.

No Show on booked dates will render services forfeited. No refund will be extended for any unused services.
Minor passengers below 18 years old must be accompanied with parents, either mother or father at the airport. Otherwise, guardian must secure clearance from DSWD.
Passengers must check the airline website (Under manage booking section) or travel agency for any flight changes before your flight. Galasphere Travel & Tours is not liable for missed airport transfers or Tours Due to Flight Delays or any Flight Changes.
Passenger guarantees that the names in the booking are correct and same spelling with the passports/valid I.D.
In case of Force Majeure (Eg. Emergencies, Accident, Storm, Rally, Typhoon, Etc.) Which are beyond our control, Galasphere Travel & Tours will not be held liable to any surcharges/penalties imposed by the hotel/ resort/local operators.
If Flight has been cancelled by the Airline, Airfare may be refundable and re-bookable subject to airline policies while Land Arrangement is re-bookable & refundable by Travel Credit Only.
INSURANCE: Tour packages does not include Travel Insurance and we highly recommend that you purchase full coverage prior to your travel. Should you fail to secure travel insurance, then you accept full responsibility and indemnify Galasphere Travel & Tours for all damages / costs that may arise.
TOUR / LAND ARRANGEMENT
JOINED TOURS / TRANSFERS: Driver / Tour Guide can only wait for you for 10 minutes. Guests should be in the lobby on time for the tour/ departure airport transfer pick up. We will not be held liable if you fail to catch the seat in coach arrangement resulting to an unnecessary incident.
PERSONAL BELONGINGS: Passengers are responsible for the safety of their own belongings. We accept no responsibility for loss or damage of a personal belongings during the trip.
CONDITIONS: Galasphere Travel & Tours reserves the right to cancel or re-schedule a tour if group numbers are insufficient to confirm a group departure. We also reserve the right to alter tours and itineraries due to weather or road conditions. All programs can be changed or cancelled at any moment during the tour to assure the safety of all passengers.
HOTEL POLICY
Hotel Standard Check in time is at 1400h and standard check out time is 1200h.
Early Check in is subject to room availability. Late checkouts will automatic charge one (1) night.
All room categories (bed configuration) are subject to availability upon check-in

INSURANCE: Tour packages does not include Travel Insurance and we highly recommend that you purchase full coverage prior to your travel. Should you fail to secure travel insurance, then you accept full responsibility and indemnify Galasphere Travel & Tours for any and all costs that may arise.
INTERNATIONAL TRAVEL
Passenger is responsible for obtaining all required travel documents, visas and permits, and for complying with the laws, regulations, orders, demands and travel requirements of countries of origin, destination or transit. Galasphere Travel & Tours does not accept any responsibility in the case of you being unable to travel due to not complying with any such requirements.
Passenger guarantees that the passports are valid 6 months upon departure and arrival and is not tampered or damaged. Passenger must shoulder any charges/damages caused by invalid/expired travel document.
Immigration/Airport Personnel has the right to subject passenger to questioning or interview upon exit. Our travel agency will not be liable for any immigration decision to not allow passenger to depart due to any circumstances.
Government employees must secure a Travel Authority from their respective department heads before travelling outside the country.
TOUR / LAND ARRANGEMENT
JOINED TOURS / TRANSFERS: Driver / Tour Guide can only wait for you for 5 minutes. Guests should be in the lobby on time for the tour/ departure airport transfer pick up. We will not be held liable if you fail to catch the seat in coach arrangement resulting to an unnecessary incident.
